Reflect on the needs for your individual Communication Plan. Then, construct a general outline that includes the following:
- Welcome email (generic for all courses)
- Personal notes versus mass communication to stakeholders (appropriate times)
- Stakeholders
- School policies regarding communication
- Tools available for effective communication
Welcome Letter
Below is an example of a generic welcome letter. Welcome letters will sent to all students and parents. Welcome letters are necessary for the stakeholder to make contact with the general school population and stakeholders. Be sure your welcome letters offer important dates that necessary for all students. Please review a general welcome letter that you may utilize.

Welcome you to Georgia Virtual School! Your official start date is Monday, June 4. This semester the Georgia Virtual School will be using the Galearns Platform for learning. Please

Some things to know:
Georgia Virtual School has
BENCHMARK DUE DATES for the summer session. You must have a percentage of the course
completed by the dates below (or they will drop you from the class). Why?
Because it was determined that these dates help the students finish in a
timely manner (and not wait until the last 2 weeks to complete everything).
Last summer the office was strict about dropping students for not
reaching the benchmark due dates. You
can also finish the course early - AND TAKE the FINAL EXAM when you are done
(even if you finish in 3 weeks)!
BENCHMARK DATES - June 15
- 33% of the course must be complete
June 22 - 50% of the course must be complete
June 29 - 67% of the course must be complete
July 13 - 100% of the course must be complete
Also, the course will "lock" once you get to a
topic test - the course will say "you need your teacher approval to move onto
the topic test". Why? To make sure you are mastering the content
before taking a test. Your work will be checked by your teacher through out the course. Please feel free to contact your teacher to unlock the tests for you. Have a wonderful

Personal notes are necessary for stakeholders to make contact with students who have matters that general affects only that student. If students are failing course work, need accommodations, and is out sick (etc.) please plan to make contact to support the student. Personal notes helps stakeholders build a relationship with students and parents. Please view an example of a personal letter.

Stakeholders
*Administration is responsible for sending weekly emails and personal emails to teachers and staff informing teachers and parents of important dates and events. Stakeholders will also need to communicate policy and procedures to teachers and staff.
*Teachers are responsible for maintaining contact with students and parents. Teachers will need to contact Administration if they need assistance with policy and procedures. Teachers must contact parents, and students of grades.
